Bureau Via's Policy Regarding COVID-19 (Coronavirus)

Bureau Via – Audits, Inspections and Advice

General

Bureau Via would like to inform you that we are taking our responsibility seriously to implement appropriate measures to minimize the spread of the coronavirus as much as possible. This means that Bureau Via and its employees strictly adhere to the guidelines set by the RIVM, particularly regarding hygiene.

Bureau Via's office policy for own employees

  • Maintaining a distance of 1.5 meters from each other;
  • No handshakes during greetings;
  • The tester ensures they have sufficient disinfectant to clean/disinfect the vehicle;
  • If a tester comes into contact with someone who is infected or has cold symptoms, this must be reported to Bureau Via management. Together, they will decide on the next steps;
  • Cough and sneeze into the inside of your elbow;
  • Employees who have been in high-risk areas must report this to Bureau Via management;
  • Regularly wash and disinfect hands using the available soap, hand sanitizer, and disposable paper tissues;
  • If any of our employees exhibit symptoms of illness, they must work from home;
  • Should an employee develop symptoms while working or feel unwell, they will be sent home as a precaution;
  • Employees may only return to work after being symptom-free for 24 hours;
  • Visits from non-employees are minimized, and the 1.5-meter distance rule is enforced;
  • Only a limited number of staff members are present at the office to ensure proper distancing.

We closely monitor updates related to the coronavirus and follow the government and RIVM guidelines. We will adjust our policy above if necessary and continue to hold each other accountable for adherence to these measures.

Bureau Via's policy regarding the performance of workshop tests

Bureau Via has given the following working instructions to personnel and external testers conducting workshop tests:

  • The office measures also apply during tests;
  • Workshop tests are no longer scheduled as physical "waiting appointments" unless the virus is under control and there is no risk of transmission;
  • The vehicle is disinfected by the tester at every handover, focusing on the control elements (steering wheel, gear shift, turn signals, etc.), as prescribed by the respective brand;
  • Upon entry, hands are always disinfected;
  • Products, brochures, and other materials are not touched;
  • The key handover (without keychains) is done by the tester. The tester places the key in a location near the service advisor where keys are typically received;
  • Contact information is thoroughly checked, especially the reachable phone number;
  • The work order is not signed due to the coronavirus. Once the situation allows, the work order can be signed again;
  • Additional work is discussed by phone;
  • The return of the car is carried out in the usual manner, in accordance with the measures set by RIVM;
  • Payment is done contactlessly;
  • The final discussion and car return take place at a location indicated by the dealer or garage company, observing the 1.5-meter distance and the RIVM measures;
  • Goodbye is said without physical contact.
  • When entering the car, the control elements (steering wheel, gear shift, turn signals, etc.) are disinfected, as prescribed by the respective brand;
  • Afterward, the tester returns to the dealer and announce their presence;
  • The tester performs the technical inspection at a remote location at the dealer, documented with photos/videos;
  • The tester reports the results of the technical inspection to the dealer and schedules a remote follow-up, e.g., via MS Teams.
  • The results sheet is not signed by the supervisor due to the coronavirus. Instead, it is emailed to the dealer after the remote feedback session. Signing resumes once the situation improves.

Lastly, Bureau Via and its employees wish every business owner health and strength during these challenging times.

Yours sincerely,

Bureau Via
